Who we are
Aces is a private app for a tennis group on Lake Como. It keeps the group's rankings, challenges and match results. Bertel Costa Maigaard runs the app and is responsible for your data (the “data controller” under the EU General Data Protection Regulation, GDPR). Questions about your data: aces@aces-vde.com.
What we store and why
Your account. Your email address and a password you choose. The password is stored only in scrambled (hashed) form, so nobody can read it. If you use Sign in with Apple, Apple gives us your name and an email address, which may be a private relay address. We use this to let you log in.
Your player profile. Your full name, city, country, age and gender, and a photo if you add one. Used to show you in the rankings and on the player list, and so the administrators can approve new members.
Your tennis. Your position in the rankings, your challenges (who, when, deadlines, answers) and your match results with set scores. This is what the app is for.
Notifications. Messages about your challenges, results and applications, whether you have read them, and your notification settings. If you allow push notifications, we store a push address for your phone.
Emails. A copy of every email the app sends (recipient name and address, subject and text), so administrators can see what was sent.
We don't use advertising, tracking or analytics, and we never sell or share your data for marketing.
Who can see your data
Other members can see your name, city, country, age, gender, photo, ranking, challenges and match results. They cannot see your email address or your notification settings. Administrators can also see email addresses, to review applications and manage members. People who are not members can see nothing, except the front page.
Services we use
Supabase. Stores the database, logins, photos and runs the app's server functions. Your data is kept in Supabase's EU region (Frankfurt, Germany).
Resend. Sends the app's emails. It receives the recipient's name and address and the email text.
Expo and Apple. Deliver push notifications to your phone. They receive your phone's push address and the notification text.
These companies process data only on our behalf and under data processing agreements. Where a service handles data outside the EU, the transfer is protected by the EU's standard contractual clauses or the EU–US Data Privacy Framework.
Legal basis
We use your data to run the club rankings you have chosen to join (GDPR article 6(1)(b), and our legitimate interest in running the group under article 6(1)(f)). Push notifications are only sent if you allow them on your phone, and you can turn emails and push on or off under My profile.
How long we keep it
Your profile is kept until you delete your account. Notifications and the email log are deleted after 12 months. Match results and rankings are kept as the group's history; if you delete your account, your matches stay but show “Former player” instead of your name. If an application is declined, the profile is deleted right away; only the email telling you about it stays in the email log.
Your rights
You can see and correct your details under My profile, and delete your account there at any time (“Delete my account”). This removes your profile, photo, notifications and push addresses immediately. You can also ask us for a copy of your data, to correct or delete it, or to limit how we use it, by writing to aces@aces-vde.com.
If you think we handle your data wrongly, you can complain to the Danish Data Protection Agency (Datatilsynet, datatilsynet.dk) or the data protection authority where you live, for example the Italian Garante (garanteprivacy.it).
Security
All connections are encrypted. Strict access rules in the database make sure members only see what is described above, and only administrators and the server can change rankings, roles and approvals.
Children
Players under 13 need permission from a parent or guardian to join.
Changes
If we change this policy, we'll update the date at the top and tell members in the app.
